Event Info — for facilitators

Event Info is a standing page inside your event for the practical details people keep asking about: WiFi credentials, the day's schedule, room locations, lunch arrangements. Write it once; participants find it in their menu whenever they need it, without interrupting the current activity.

  • Enable Event Info in the Utilities section of your session view.
  • Write the content in Markdown — headings, lists and links all work.
  • Rename the page's label if you like, and add more than one instance when a single page would get long (say, Schedule and Venue).
  • Participants open it from their menu at any time; it doesn't take part in the flow or need Focus.

The Event Info settings panel, expanded in the Utilities section. A Label field names the page; below it a Markdown box holds the content — WiFi details, a schedule and room notes — with a live Preview underneath showing what participants will see. A "Visible to participants" switch at the foot controls whether the page appears in their menu.

Event Info sits outside the flow — it produces no items and consumes none; it is simply always there in the participants' menu.

Paper and pen

You need: a flip chart, a fat marker, and the wall by the door.

  • Write the standing facts once, before people arrive: WiFi and password at the top (the first thing anyone asks), then timings, rooms, meals.
  • Post it where people naturally pause — by the door, by the coffee — not behind you at the front.
  • Update it in marker as things change; cross out rather than erase, so the room can see the schedule moved.
  • Failure mode to avoid: answering the same question aloud all day. Point at the sheet instead — that's how the room learns where answers live.

When & why

Reach for Event Info for anything you'd otherwise put on a flip-chart by the door: WiFi and passwords · schedule and timings · rooms and maps · meals and dietary notes · emergency contacts.

  • Writing it down once buys back the interruptions — practical questions stop arriving mid-activity.
  • For task instructions tied to a step in the work, use the Instructions flow tool instead — Event Info is for the standing facts of the event.
